About Fastrac Energy Services
Fastrac Energy Services is the Gulf Coast’s trusted solar and battery installation team, headquartered in Houston and licensed across Texas, Louisiana, Arkansas, and Mississippi. Fastrac delivers reliable, high-performance solar and energy storage solutions that lower electric bills and keep homeowners’ power on when the grid is down, with a 24 to 48-hour installation standard and ongoing support after the job is done. The team combines solar expertise with seasoned construction experience, and works directly with homeowners as well as through a growing network of sales partners across the region.
We spoke with Justin Duncan, Director of Design and Engineering, who joined Fastrac as a site surveyor over 5 years ago and leads the organization’s utilization of SiteCapture across field crew coordination, drafting, lenders, and AHJs.
Overview
The last 18 months have reshaped residential solar. The market shifted from loan structures to third-party ownership, FEOC compliance and domestic content rules tightened, Wall Street pulled funding, and Texas alone lost roughly 80% of its EPCs over a single calendar year. Lenders responded by raising the bar on milestone documentation, with rejections triggered by photo composition, angle, resolution, or a single missing shot. For an EPC like Fastrac, getting paid now depends on getting the documentation exactly right, every time.
SiteCapture has been Fastrac’s tool for meeting those expectations from the start. The team uses it for site surveys, installs, service truck rolls, and lender compliance, and runs SiteCapture’s direct integration with Palmetto LightReach to push milestone photos into the lender portal in two clicks.
The Challenge: Stricter Lender Requirements, Variable Field Skill Levels, and Avoidable Truck Rolls
As funding tightened, lenders started rejecting projects over things like a glare on a meter base or a nameplate shot taken at the wrong angle. At the same time, the people taking those photos in the field span a wide range of experience, from career electricians to brand new site surveyors and subcontractors. Without a tool that enforces consistency, Fastrac would have been sending crews back over unreadable meter numbers, missing service panel shots, or photos filed in the wrong place.
Key pain points the team needed to solve:
- Lender-driven compliance pressure. Funding is contingent on photo quality, composition, and even the angle of the shot. One missing or rejected photo can stall a project for weeks.
- Skill variance across the field. Crews and subcontractors do not share the same vocabulary or attention to detail. Some installers stop reading a field group label after the first word, which leads to misfiled photos and rework.
- Truck rolls over unreadable photos. A grainy nameplate or glint on a meter used to mean sending a crew back to recapture a single image.
- Manual lender uploads. Before the Palmetto LightReach integration, the team downloaded a zip of photos from each project, extracted them, and uploaded the batches into the lender portal by hand.
The Solution: One Standard for Field Documentation, Integrated Directly with Lenders
Fastrac built SiteCapture templates that match the strictest lender requirements across their entire book of business, so every install meets the highest bar regardless of which lender funds the project. Logic-driven questions and required photos guide each technician through the right captures for the equipment they are installing, and the Palmetto LightReach integration handles milestone submission automatically.
Inside SiteCapture, Fastrac’s team:
- Builds OEM-specific templates for Tesla Powerwall, SolarEdge, Enphase, and other product lines, with conditional logic that surfaces only the photo requirements that apply to the system being installed.
- Uses field groups to organize captures by main service panel, disconnects, array, and other repeatable sections, including dynamic per-array sections for rooftop layouts.
- Treats SiteCapture as a training tool, labeling sections with National Electrical Code terminology and attaching example photos so a newer installer learning what a “raceway” or “TACO” is can click in and see exactly what to capture.
- Submits Palmetto LightReach milestones in two clicks through the direct integration, replacing manual zip downloads and portal uploads.
- Catches blurry photos in the field with the in-app fuzzy photo warning, so the crew can retake before leaving the site.
- Distributes interactive PDF reports to internal design teams and external vendors. Reviewers can click any photo in the PDF and pull up the full high-definition version in a browser, without inflating the file size of the document itself.
The Results: Faster Lender Submissions, Fewer Truck Rolls, and a Single Source of Truth in the Field
SiteCapture is now the backbone of Fastrac’s field operations. During peak season, the team runs roughly 20 installs and 25 to 40 site captures through the platform each week, and every project is organized and audit-ready when a lender or AHJ needs to see it.
- Two-click milestone submission to Palmetto LightReach has replaced the team’s old zip-download-and-upload routine, saving significant time, energy, and processing power per project.
- Fewer truck rolls thanks to HD photo links in reports plus the in-app fuzzy photo warning. Both catch image quality problems before they turn into a return trip.
- Operational leverage at scale. Justin estimates SiteCapture absorbs the documentation workload of a 2 to 5x larger admin staff, letting Fastrac’s lean ops team stay focused on quality, training, and growth instead of chasing photos.
- A single training and accountability tool that holds in-house crews and subcontractors to the same standard, regardless of how much solar experience they walked in with.
- Live photo review workflows have largely replaced the rework-heavy “savvy of the user” approach the team used in its early years.
What's Next for Fastrac?
Even as the Texas market contracts, Fastrac is doubling down on the field tools that keep crews efficient and lender funding on schedule. The team is interested in piloting SiteCapture’s new AI capabilities, including automated photo validation and text extraction from nameplates and meters, and is looking forward to more direct lender integrations coming online as funding partners adopt them.
